Terms & Conditions of Participation in our Symposium.

 

1. Registration and Conclusion of Contract

By completing and submitting the online registration form and (if applicable) paying the applicable participation fee, you enter into a binding contract of participation with Phospholipid Research Center e.V. Heidelberg (“Organizer”). Participation is only confirmed upon receipt of payment (if applicable) and a confirmation email from the Organizer.

 

2. Participation Fee and Payment

If a participation fee applies, the fee is as stated on the event website.

Payment must be received within 14 days after receipt of the invoice. Participation is only secured once full payment has been received.

 

3. Cancellation by Participant

Cancellations must be submitted in writing to symposium@phospholipid-research-center.com.

  • Cancellation up to 30 June 2026: full refund of the participation fee.
  • Cancellation after 30 June 2026: no refund of the participation fee is provided.

 

4. Changes and Cancellation by the Organizer

The Organizer reserves the right to cancel, postpone, modify or relocate the event for any cause beyond its reasonable control, including but not limited to force majeure, illness of key contributors, venue unavailability, governmental action, or other unforeseen circumstances.

In such cases, the Organizer will, where practicable, notify all registered participants promptly by email.

If the Organizer cancels the event entirely, participation fees already paid will be refunded. Apart from refunding fees actually paid, no further compensation or reimbursement (e.g., travel or accommodation costs) shall be owed to participants.

 

5. Program Changes and Replacement of Speakers

The Organizer may change the event’s program, schedule, or speakers without prior notice. Such changes shall not entitle participants to withdraw from the contract or to any refund, except as provided for in section 4 above.

 

6. Liability

Participation is at your own risk. The Organizer and its agents shall not be liable for loss, theft, or damage to personal belongings, except in cases of intentional misconduct or gross negligence.

Liability for bodily injury or death caused by the Organizer’s intentional misconduct or gross negligence shall not be excluded. Otherwise, to the fullest extent permitted by applicable law, the Organizer’s liability is limited to direct, foreseeable losses and excludes indirect or consequential damages.

 

7. Photography

Photographs may be taken during the event in which participants may appear. By registering, you consent to such photographs being used by the Organizer for promotional purposes (e.g., website, social media, newsletters).

If you do not wish to appear in photographs, please inform the Organizer in advance by email at symposium@phospholipid-research-center.com. The Organizer will make reasonable efforts to accommodate such requests.

 

8. Behavior and Exclusion (Code of conduct)

Participants are expected to conduct themselves professionally and respectfully. The Organizer reserves the right to exclude any participant from the event for disruptive behavior or violations of these Terms & Conditions, without refund.

 

9. Data Protection

By registering, participants consent to the processing of their personal data for purposes related to event organization and communication, in accordance with the Organizer’s Privacy Policy. Participants may request access to, correction of, or deletion of their data as permitted by applicable law.

 

10. Governing Law and Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of Germany. Any disputes arising out of or relating to these terms shall be subject to the exclusive jurisdiction of the courts of Heidelberg/Germany.

 

11. Severability Clause

If any provision of these Terms & Conditions is held to be invalid or unenforceable, the remainder will continue in full force and effect.
